Telephony that understands your rooms, not just your extensions
Check-ins, check-outs, wake-up calls, call rights, do not disturb, housekeeping, emergency calls, phone supervision and billing — in a single interface, designed for the front desk and daily operations.
One module, all room professions
The key idea of the module: the room is a permanent entity of the establishment, the occupant changes. MaxiPBX manages both separately — only the context of use varies.
Hotels & hotel residences
Room 214 → Guest
Hospitals & clinics
Room 312 → Patient
EMS & retirement homes
Room 12 → Resident
Medical and social care facilities
Room B4 → Resident
Residences & care homes
Studio 3 → Occupant
Any facility with equipped rooms
One or more phones per room
Each room is a complete record
A room is not a simple user of the switch: it is a dedicated entity, with its lifecycle, its current occupant and its history. A flexible hierarchy — site, building, floor — structures large installations without complicating small ones.
- Number, label, site, building and floor (optional for small facilities)
- MULTIPLE phones per room: main extension, bathroom, living room…
- Current occupant, occupancy status, service status and housekeeping
- Wake-up calls, voicemail, call rights and history tied to the room
Check-in in one gesture, check-out with nothing left behind
Assigning an occupant is done in a single operation: name, language, phone profile, call rights. On departure, «Reset the room» clears everything — no message, wake-up call or setting from a previous occupant is accessible to the next. Privacy by design.
- Check-in: rights activated, language applied, voicemail initialized automatically
- Check-out: voicemail purged, wake-up calls and call forwarding deleted, PIN reset
- Automatic return to «Empty room» profile and available status
- A decisive advantage for health and medical-social care
The right call rights, automatically
Phone profiles — Empty room, Standard, National, International, VIP, Patient… — apply REAL restrictions at the core telephony level, not just labeling. They change dynamically on arrival, departure or on demand.
- Empty room: internal, reception and emergencies only — external blocked
- Fully customizable profiles by facility
- Dynamic activation throughout the stay, without technical intervention
- Cost control in hospitality, consistent rules in healthcare
Reliable wake-up calls, tracked to the second
Wake-up calls created from the reception interface, from the room phone using a service code, or via API. Each wake-up call is tracked: scheduled, successful, no answer, failed — with automatic retries.
- Date, time, repeat, language, audio message, attempts and configurable delays
- FAILED wake-up calls stand out clearly at reception — safety of persons
- In healthcare: care reminders and wake-up calls scheduled for treatment
Housekeeping, statuses and Do Not Disturb
The status of each room is updated in real-time: staff change the status directly from the room phone using service codes. Do Not Disturb is respected — except for priority extensions that you define.
- Configurable statuses: available, to be cleaned, cleaned, to be inspected, maintenance…
- Service codes from the extension: *571 cleaned, *572 to be cleaned, *574 maintenance…
- DND activatable from the room or interface, deactivatable by reception
- Reception, authorized staff and emergencies can override DND
- Calls between rooms: allowed, forbidden or limited to a group (families…)
An emergency from a room never goes unnoticed
When a room calls an emergency number, MaxiPBX immediately generates a timestamped event — room, extension, number called — sent to reception and kept in history. And because a silent phone is a risk in healthcare, each phone is supervised: offline too long, an alert is triggered.
- Immediate event: «EMERGENCY CALL — Room 417 — 144 — 03:17»
- Notifications: interface, reception, email, SMS, webhook, API
- Phone supervision: online/offline status, model, last SIP registration
- Automatic alert beyond a configurable offline duration
Designed for the front desk, not the telecom administrator
A clear grid — room, occupant, phone, DND, wake-up call, status, profile — with filters by building, floor or status, and all daily actions at a click. The dashboard summarizes the facility: occupancy, phones, wake-up calls, alerts. Each event is logged in the room journal.
- Quick actions: assign, release, wake-up call, DND, profile, status, maintenance
- Dashboard: occupancy 127/180, 176 phones online, 2 failed wake-up calls…
- Timestamped journal per room, with the source of each event
- Dedicated roles: the front desk operates without PBX administration rights
Billing and business integrations
Each outgoing call can be associated with the room and monetized — operator cost, markup, fixed or per-minute price — for the guest's bill. Disableable for facilities that don't need it. The module opens to your business software via REST API and webhooks, with an architecture ready for hotel PMS (Oracle Hospitality / OPERA / FIAS).
- Billing by room and occupant, configurable rates, completely optional
- External system → MaxiPBX: check-in/out, occupant, language, profile, wake-up calls…
- MaxiPBX → external system: statuses, DND, calls, billing, emergencies…
- REST API, webhooks, connectors — independent of any specific PMS
Golden rule: emergencies, always
Whatever the call profile of a room — even «Empty room», even the most restricted — emergency calls are NEVER blocked.

அடிக்கடி கேட்கப்படும் கேள்விகள்
Does the Rooms module replace our hotel PMS?
No, it complements it: your PMS remains your reservation and overall billing tool, MaxiPBX Rooms manages the entire telephony side — call rights, wake-up calls, DND, call billing. An integration layer (REST API, webhooks) is ready to synchronize both, with an architecture prepared for Oracle Hospitality / OPERA / FIAS environments.
What exactly happens when an occupant leaves?
The «Reset the room» function clears everything in one action: voicemail messages purged, wake-up calls deleted, call forwarding and DND deactivated, PIN reset, call rights returned to «Empty room» profile. The next occupant never has access to anything from the previous one — a strong guarantee, especially in medical settings.
Can a healthcare facility disable call billing?
Yes, billing is completely optional: a hospital or EMS can disable it, while a hotel uses it to charge communications to the guest's bill — with configurable rates (operator cost, markup, per-minute or fixed price).
How does housekeeping staff update room status?
Directly from the room phone, using configurable service codes: for example *571 for cleaned, *572 for to be cleaned, *574 for maintenance. Reception sees the entire facility's status update in real-time, without radio or paper.
How can you be sure a room phone is always working?
Each phone is continuously supervised: online/offline status, last SIP registration, model and firmware. If a phone stays offline beyond a configurable duration, an alert is triggered — in a hospital or EMS, a non-functional phone is detected before it becomes a risk.
Can calls between rooms be forbidden?
Yes, the policy is configurable: calls between rooms allowed, forbidden, or limited to rooms in the same group — useful for a family spread across multiple hotel rooms, or to guarantee peace between patients.
