Rooms Module

Telephony that understands your rooms, not just your extensions

Check-ins, check-outs, wake-up calls, call rights, do not disturb, housekeeping, emergency calls, phone supervision and billing — in a single interface, designed for reception and daily operations.

One module, all room professionals

The module's core idea: the room is a permanent entity of the establishment; the occupant changes. MaxiPBX manages both separately — only the usage context varies.

One or more phones per room

01

Each room is a dedicated record

A room is not just a regular PBX user: it's a dedicated entity, with its own lifecycle, current occupant and history. A flexible hierarchy — site, building, floor — structures large installations without complicating small ones.

  • Number, label, site, building and floor (optional for small facilities)
  • MULTIPLE phones per room: main extension, bathroom, lounge…
  • Current occupant, occupancy status, service status and housekeeping
  • Wake-up calls, voicemail, call rights and history tied to the room
02

Check-in in one gesture, check-out with no residue

Assigning an occupant is done in a single operation: name, language, phone profile, call rights. At checkout, 'Reset room' wipes everything clean — no message, wake-up call or setting from a previous occupant is accessible to the next one. Privacy by design.

  • Check-in: rights activated, language applied, voicemail initialized automatically
  • Check-out: voicemail purged, wake-up calls and call forwarding deleted, PIN reset
  • Automatic return to 'Empty room' profile and available status
  • A decisive argument for health and medical-social sectors
03

The right call rights, automatically

Phone profiles — Empty room, Standard, National, International, VIP, Patient… — apply REAL restrictions at the core telephony level, not just labeling. They change dynamically at arrival, departure or on request.

  • Empty room: internal, reception and emergencies only — external calls blocked
  • Fully customizable profiles per facility
  • Dynamic activation throughout the stay, without technical intervention
  • Cost control in hospitality, consistent rules in healthcare
04

Reliable wake-up calls, tracked to the second

Wake-up calls created from the reception interface, from the room phone via service code, or via API. Each call is tracked: scheduled, successful, no answer, failed — with automatic retries.

  • Date, time, repetition, language, audio message, attempts and delays configurable
  • FAILED wake-up calls stand out clearly at reception — people's safety
  • In healthcare: reminders and wake-up calls scheduled for treatments
05

Housekeeping, statuses and Do not disturb

Each room's status is updated in real time: staff change the status directly from the room phone via service codes. Do not disturb is respected — except for priority extensions you define.

  • Configurable statuses: available, to clean, cleaned, to inspect, maintenance…
  • Service codes from the phone: *571 cleaned, *572 to clean, *574 maintenance…
  • DND activable from the room or the interface, deactivable by reception
  • Reception, authorized staff and emergencies can override DND
  • Inter-room calls: allowed, forbidden or limited to a group (families…)
06

An emergency from a room never goes unnoticed

When a room calls an emergency number, MaxiPBX generates an event immediately — room, extension, number called — sent to reception and stored in history. And because a silent phone is a risk in healthcare, every phone is supervised: offline too long, an alert is sent.

  • Immediate event: 'EMERGENCY CALL — Room 417 — 144 — 03:17'
  • Notifications: interface, reception, email, SMS, webhook, API
  • Phone supervision: online/offline status, model, last SIP registration
  • Automatic alert if offline longer than a configurable duration
07

Designed for reception, not for telecom administrators

A clear grid — room, occupant, phone, DND, wake-up call, status, profile — with filters by building, floor or status, and all daily operations at a click. The dashboard summarizes the facility: occupancy, phones, wake-up calls, alerts. Every event is logged in the room's journal.

  • Quick actions: assign, release, wake-up call, DND, profile, status, maintenance
  • Dashboard: 127/180 occupied, 176 phones online, 2 failed wake-up calls…
  • Time-stamped journal per room, with the source of every event
  • Dedicated roles: reception operates without PBX administration rights
08

Billing and business integrations

Each outgoing call can be associated with the room and valued — operator price, markup, fixed or per-minute rate — for the guest's bill. Disableable for facilities that don't need it. And the module opens to your business software via REST API and webhooks, with an architecture ready for hotel PMS systems (Oracle Hospitality / OPERA / FIAS).

  • Billing by room and occupant, configurable rates, entirely optional
  • External system → MaxiPBX: check-in/out, occupant, language, profile, wake-up calls…
  • MaxiPBX → external system: statuses, DND, calls, billing, emergencies…
  • REST API, webhooks, connectors — not dependent on any specific PMS
🚨

Golden rule: emergencies, always

Regardless of a room's call profile — even 'Empty room', even the most restricted — emergency calls are NEVER blocked.

Frequently asked questions

Does the Rooms Module replace our hotel PMS?

No, it complements it: your PMS remains your reservation and global billing tool, MaxiPBX Rooms controls all telephony aspects — call rights, wake-up calls, DND, call billing. An integration layer (REST API, webhooks) is ready to synchronize the two, with an architecture prepared for Oracle Hospitality / OPERA / FIAS environments.

What exactly happens when an occupant checks out?

The 'Reset room' function wipes everything in one action: voicemails purged, wake-up calls deleted, call forwarding and DND deactivated, PIN reset, call rights returned to 'Empty room' profile. The new occupant never has access to anything from the previous one — a strong guarantee, especially in medical settings.

Can a healthcare facility disable call billing?

Yes, billing is entirely optional: a hospital or care facility can disable it, while a hotel uses it to charge communications to the guest's bill — with configurable rates (operator price, markup, per-minute or fixed price).

How does housekeeping staff update room status?

Directly from the room phone, with customizable service codes: for example *571 for cleaned, *572 for to clean, *574 for maintenance. Reception sees the entire facility's status update in real time, with no radio or paperwork.

How can we be sure a room phone is still working?

Every phone is supervised continuously: online/offline status, last SIP registration, model and firmware. If a phone remains offline longer than a configurable duration, an alert is sent — in a hospital or care facility, an out-of-service phone is detected before it becomes a risk.

Can inter-room calls be forbidden?

Yes, the policy is configurable: inter-room calls allowed, forbidden, or limited to rooms in the same group — useful for a family spread across multiple hotel rooms, or to ensure privacy between patients.
